Operations platform for a 1,500-student school
One platform in place of spreadsheets, a paid timetabling tool and a legacy system: a dashboard, 15 management apps, and parent and teacher apps. Our engineers built and run it.
- students
- ≈1,500
- user accounts
- 6,000+
- management web apps
- 15
- students matched to ESIS automatically
- 1,454 of 1,504
Problem
A large private school ran on spreadsheets, a timetabling subscription and an inherited legacy system, so admissions, attendance, tuition, payroll and approvals were split across separate tools and paper.
Solution
Since July 2025 our engineers have served as the school’s in-house engineering team and built one role-based platform.
A dashboard and 15 management web apps (students, HR, timetable, finance, cafeteria, library, clubs, buses, contracts and assets, admissions, shop, staff tasks) run on about 20 GraphQL services, alongside parent and teacher apps and an LMS.
- Bank statements are matched to students automatically every 10 minutes, and VAT e-receipts go out through eBarimt.
- Payroll is computed from the door-scan timesheet.
- Every change to money waits in a director approval queue.
- Staff can ask an AI assistant that sees only the data their role allows.
- Attendance goes to the national education database (ESIS) every weekday.
Outcome
Used every day by teachers, accountants, managers, the doctor, cafeteria staff and the director: about 1,500 students and 6,000+ user accounts.
1,454 of 1,504 nationally registered students were matched to ESIS automatically. In a test on earlier timetable data, the timetable solver placed all 1,661 lessons. 2,900+ commits in 16 months, shipped with blue-green deploys.
